DATA PRIVACY & CONFIDENTIALITY POLICY

I. STATEMENT OF COMMITMENT & PURPOSE
MYHILL ALS INC. (“MyHill ALS,” “we,” “us,” or “our”) highly values the trust and privacy of our learners, parent/guardian volunteers, alumni, staff, donors, and partners.

This Data Privacy Policy governs how we collect, process, store, and protect personal data in compliance with Republic Act No. 10173, otherwise known as the Data Privacy Act of 2012 (DPA) of the Philippines, its Implementing Rules and Regulations, and relevant National Privacy Commission (NPC) circulars.

II. PERSONAL DATA WE COLLECT
We collect personal information required to deliver our Alternative Learning System (ALS) instructional programs, conduct educational research, manage volunteer support, and maintain corporate compliance.

  • Learner Data: Full name, age, birthdate, government ID details, Learner Reference Number (LRN), prior educational background, diagnostic test scores (FLT and A&E Mock Tests), progress tracking metrics, and contact details.

  • Parents & Guardians Data: Full name, relationship to learner, contact numbers, email addresses, and residential addresses.

  • Volunteers & Board Members Data: Full name, professional credentials, contact details, signatures, and government IDs for SEC compliance.

  • Website Visitors Data: IP addresses, device identifiers, and browser cookies collected automatically via our website platform for site optimization.

III. USE OF ANONYMIZED ACADEMIC & RESEARCH DATA
MyHill ALS originated from dedicated educational research aimed at enhancing ALS learning outcomes.

  • Performance records, diagnostic scores, and learning progress metrics are processed for educational research, curriculum improvement, grant reporting, and institutional evaluation.

  • Research Anonymity: All data used in published educational research, statistical reports, or funding presentations is strictly anonymized and aggregated. No individual learner or family is ever personally identified in research outputs.

 

IV. MUTUAL NON-DISCLOSURE & CONFIDENTIALITY OBLIGATIONS
To protect the security, dignity, and learning environment of our community—especially minor learners—all registered learners, parents, legal guardians, alumni, and volunteers agree to the following confidentiality rules:

  1. Confidentiality of Learner Information: All community members shall maintain strict confidentiality regarding any personal, academic, psychological, socio-economic, or diagnostic information about fellow learners acquired through MyHill ALS activities.

  2. Prohibition on Unauthorized Recording & Distribution:

    • Audio, video, or screenshot recordings of online classes, modular sessions, diagnostic exams, or physical learning events are strictly prohibited without prior written authorization from MyHill ALS officers.

    • Internal learning modules, mock assessment tools, research materials, and contact databases remain the exclusive property of MyHill ALS Inc. and shall not be shared with external third parties.

  3. Protection of Minor Data: Parents, guardians, and volunteers shall not post or share identifying details, full names, or home locations of minor learners on public social media platforms or external messaging groups.

V. PARENTAL & GUARDIAN CONSENT FOR MINORS
For learners under eighteen (18) years of age, personal data processing, enrollment validation, and program participation require explicit consent provided by a parent or legally recognized guardian during registration.

VI. PHOTO, VIDEO, & MEDIA RIGHTS
MyHill ALS may occasionally document learning activities, graduation milestones, and community projects for grant reporting, program verification, and official campaigns.

  • Minors & Identification Safety: Minor learners will never be identified by full name or sensitive status without written consent.

  • Opt-Out Procedure: Any individual, parent, or guardian who wishes to opt out of media capture must submit a written request to the Data Protection Officer (DPO) prior to the event, accompanied by a reference photo strictly used for media filter identification.

VII. DATA SECURITY, RETENTION, & DESTRUCTION
We deploy organizational, physical, and technical safeguards (including encrypted storage, firewalls, and role-based access restrictions) to protect data against unauthorized access, loss, or alteration.

  • Retention Period: Personal data is retained for up to 10 years from the date of last active engagement (e.g., release of A&E certification, exit from volunteer service) or as mandated by law.

  • Secure Disposal: Upon expiration of the retention period or upon a valid request for erasure, physical records are shredded, and digital records are permanently purged from all databases.

VIII. YOUR RIGHTS AS A DATA SUBJECT
Under the Data Privacy Act of 2012, you have the right to be informed, access, correct/update, erase, or object to the processing of your personal data.
